Optimize asset utilization in oil & gas

 Managing the wide range and volume of assets in the Oil & Gas industry presents significant challenges for cross-departmental collaboration. Assets such as land leases, oil wells, pipelines, construction machinery, transport vehicles, and geological research equipment all require optimized utilization and performance. About

 OMV, an integrated oil and gas company based in Austria, employs over 20,000 people across 11 countries. Rapid growth through acquisitions and expansion led to significant challenges with its outdated enterprise content management (ECM) systems, which were fragmented and lacked visibility across geographies.


These limitations hindered productivity, complicated compliance with evolving industry regulations, and created inefficiencies in managing information and workflows. 


OMV needed a modern, scalable information management solution that could be easily adopted enterprise-wide, support regulatory compliance, and streamline operations across both administrative and capital project domains. 

THE SEARCH FOR AN AGILE INFORMATION MANAGEMENT SYSTEM

Like many companies, OMV used different document management systems in each of its locations, which caused inconsistencies. Because these systems were outdated, implementing a new ECM system meant the company would face a massive data migration process. 


OMV needed to make a hard decision: Revamp its aging ECM system, which could take months to complete at considerable cost, or find a new, more flexible system that would be quick to deploy and easy for its employees to adopt.


As OMV contemplated its next move, the company laid out its requirements for document management, An agile content framework that would allow management, governance, traceability and rules to be laid transparently across existing data silos and also provide process tools that engage users and invite them to adapt and improve their own workflows. 


-Categorization, indexing and metadata that would be available across geographies to ensure consistent results. 


-Strong integration capabilities and seamless search across content stores both inside and outside the system. 


-Easy integration with OMV’s master Oracle database. 


After an extensive RFI phase that evaluated 15 vendors, OMV selected M-Files for its ease of use, graphical user interface, metadata-driven approach and ease of integration with critical systems. “We did not want a complex ECM system that our employees would not use, and this is why we selected M-Files” said Florian Neuböck, Senior Project Manager of Enterprise Applications at OMV.

DOCUMENT GOVERNANCE ASSISTS WITH REGULATORY COMPLIANCE

M-Files helped OMV meet regulatory compliance with document governance and redefine the role played by document controllers. Prior to using M-Files, OMV had two employees whose job was to ensure that each document had a proper number, was stored in the correct place and met the minimum requirements for its regulatory function.


The role was administrative and did little to improve the content, function or value of documents maintained. “M-Files is not only very easy to use, but it’s also easy to configure and administer in a manner that enables us to comply with strict regulatory requirements,” continued Neuböck. M-Files has empowered OMV to transform and evolve the role of document controller. Because M-Files streamlines the administrative functions of information management, document controllers are now focused on service delivery and document quality, ensuring that each document meets not only regulatory objectives but also the needs of the company.
